Stacy’s Tip of the Week 7.31.17 ShoreTel Connect Client: Contacts and Groups

Stumped Stacy to Tim the Tech:

Dear Tim the Tech,

This week I would like to know more about how to create groups in the ShoreTel Connect Client.

 

Tim the Tech:

Dear Stumped Stacy,

Wonderful! I will be going over the People tab which includes contacts, contact groups and contact favorites! Hope you enjoy!!

 

The people panel provides access to favorite contacts and contact groups that you have created yourself

There are two tabs, one for favorites and one for groups

By default ShoreTel Connect Client includes a favorite groups to which you can easily add contacts simply by clicking the star to the right of their name from within the system directory

You can also add new contact to your database with the new contact buttonPic3

In addition to the default favorites group you can create custom contact groups for contacts with whom you interact with frequently

Let us say that you need to create a contact group with people in human resources that you communicate with frequently

To create the group, click on the new group button on the people tab

The ShoreTel Group detail page appears on the right, name this group HR

Enter the contacts you want to add under that group name

As you type ShoreTel Connect Client searches people and populates with any known listings

I can then click on David’s name to add him to the group

You can also click and drag a contact if you have the people panel open

I will click on Mark Hales and drag his name to the groups people field

Click on the save changes button

Your new HR contact group then appears in the group tab

Stacy’s Tip of the Week 7.24.17 ShoreTel Connect Client: Drap & Drop and Drag & Hover

Stumped Stacy to Tim the Tech:

Dear Tim the Tech,

Thank you for last weeks Tip!  What else do you have for me this week?

 

Tim the Tech:

Dear Stumped Stacy,

This week we are going to go over dragging and dropping a call from the ShoreTel Connect Client!

You can use drag and drop functionality to manage calls…

Left click a call from the dashboards call stack, drag it and then drop it onto a contact in the people panel, this initiates a blind transfer of the call to that contact automatically.

Let us say we are on a call with David Blaine and he has asked us to transfer him to Mark Hales.  Use drag and drop to transfer him to Mark

Once the blind transfer completes the call disappears from the transferring users call stack and we can see that Mark is now on the phone with the call we transferred to him.

You have access to several basic telephony features using drag and hover…

Basic drag and hover telephony options include blind transferring the call to the contact, blind conferencing the contact into the call with you and your caller, and parking the call onto the contacts phone

Drag a call and hover the draggable object over the target contact for two seconds

After two seconds the draggable object will disappear being replaced by a contextual menu with additional basic telephony options

At this point release the mouse button

And finally to cancel out of using the menu simply mouse click on any space off of the menu or tap the esc key on your keyboard to make the contextual menu go away and cancel the drag and hover.

Stacy’s Tip of the Week 7.17.17 ShoreTel Connect Client: Placing a Call

Stumped Stacy to Tim the Tech:

Dear Tim the Tech,

I’m waiting patiently to learn more about the ShoreTel Connect Client!  I’m ready to absorb more knowledge!

 

Tim the Tech:

Dear Stumped Stacy,

That is great to hear that you want to learn more!  How about this week we go over how to place a call directly from the ShoreTel Connect Client!

To dial a number from the search bar, first click inside the search bar on the ShoreTel Connect Client Dashboard

Enter the number (or name if your contacts are synced with outlook) that you wish to dial and then press enter, your ShoreTel phone will go off hook automatically and your call will begin

When dialing from the search bar you can also enter the first few letters of the contact and the window will expand to display the names of all users with matching parts of the name

Double click the contact you wish to call to open a new panel on the right containing that contacts information

Click on that green call button to the top right to place a call from your desk phone

Either way once your call is established the dashboard displays information about the call in progress including the name or number of the person you have called, as well as the length of the call.

From this active call panel you can also add additional media to your communications depending on how your admin has configured your client permissions.

To share your screen with other ShoreTel Connect Client users click the share icon and so on.

As a call comes into your extension the dashboard displays a notification with options for managing the inbound call while your assigned the phone rings.  You can choose to answer the call, transfer to voicemail or forward the call to another extension.

If you choose to answer the call your phone will go off hook, the call will be established and the callers information will appear in an expanded panel to the right.

Again from this active call panel you have additional call control options such as muting your call, screen sharing, and forwarding.

Mid call functions on your desk phone are available in the ShoreTel Connect Client as well and the status of the inbound call will appear in the dashboard.

In fact you can think of it this way, anything you can do on the phone you can do in the Client

Stacy’s Tip of the Week 7.10.17 ShoreTel Connect Client: Understanding the Basics

Stumped Stacy to Tim the Tech:

Dear Tim the Tech,

I am having some trouble and I need your help!! My company recently upgraded and now I need to use this new thing call the Connect Client instead of my Communicator. With that said, I need some guidance on how to properly navigate through the Connect Client since it is foreign to me?

 

Tim the Tech:

Dear Stumped Stacy,

I agree…it is a bummer that you can no longer use your Communicator, but don’t you worry, I will show you all the new bells and whistles that the Connect Client has! Let me first start with the basics of the Connect Client.  And then each week following I’ll continue to show you more and more!

I first want to cover the Connect Client dashboard from the top down.

At the top of the dashboard is a menu allowing you to access client settings and application info.  Once you click on the downward arrow the following options will show.

Below that is a dial pad and also a quick dialer field, allowing you to dial a user directly from the client or search your company directory by typing part or all of a person’s name, number o extension

Below this is a colored box with a downward pointing arrow, displaying the color associated with your current availability state. Click this box to manage and change your availability state.

To the right of this box is the name, availability state, and phone assignment of the user currently logged into this Connect Client, presumably this is you.

Below your name you will see three standard items. People, Recent and Events.  Each of which you can click to expand the window and display relevant controls and indicators.
